We will not send your CV to a client for a specific vacancy without first discussing the opportunity with you.
We use trusted technology providers, including Airtable, to manage candidate and client information. These providers may only process information for authorised purposes and must protect it appropriately.
7. International transfers
Some of our technology providers, including Airtable and GoDaddy, may store or process personal information outside the UK.
Where personal information is transferred internationally, we take reasonable steps to ensure that appropriate legal safeguards are in place. These may include transferring information to a country covered by UK adequacy regulations or using approved contractual protections.
8. How long we keep information
We retain personal information only for as long as it is reasonably required for the purpose for which it was collected.
- Candidate profiles and CVs: two years from our last meaningful contact with you
- Vacancy-specific interview notes and feedback: 12 months after the recruitment process ends
- Client and professional contact records: for the duration of the relationship and two years afterwards
- Placement, contractual and financial records: six years
- General website enquiries: 12 months
- Marketing information: until you unsubscribe, object or there has been no meaningful engagement for two years
Our usual retention periods are:
Meaningful contact may include discussing an opportunity, receiving an updated CV or having you confirm that you wish to remain within our professional network.
Information collected for vetting, identity verification or right-to-work purposes will be deleted when it is no longer required, unless we have a legal obligation to retain it.
We may retain a minimal suppression record after you opt out of marketing. This enables us to record your preference and avoid contacting you again.
At the end of a retention period, we will review the information and delete or anonymise it unless there is a clear legal or business reason to retain it for longer.
9. Marketing communications
We may contact candidates and professional contacts about relevant opportunities, recruitment services or market information where permitted by law.
You can ask us to stop sending marketing communications at any time by using the unsubscribe option provided or emailing [email protected].
Opting out of marketing will not prevent us from contacting you about an active application, recruitment assignment, placement or existing business relationship.
10. Website analytics and cookies
Our website is built and hosted using GoDaddy. GoDaddy may process technical information about website visits, including IP address, browser and device information, visit times and approximate location, to provide website functionality, security and analytics.
We use a cookie preference tool so that visitors can accept or decline optional cookies and tracking technologies.
If we add third-party analytics or advertising tools, such as Google Analytics or the Meta Pixel, we will update this Privacy Notice and our Cookie Notice accordingly. Optional tracking tools will only be activated where the required permission has been obtained.

11. Automated decision-making
We may use technology to help organise, search and identify potentially relevant information. However, we do not make decisions producing legal or similarly significant effects about candidates solely through automated processing.
Recruitment decisions involve human review and judgement.

We use appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.
Access to personal information is restricted to people and service providers who require it for legitimate business purposes.
Although no online service or storage system can guarantee absolute security, we regularly consider the measures required to protect the information under our control.
